Inviting Speakers Guidelines/Responsibilities

 

Some Career Network members have offered to speak at career programs on campus. These programs could be sponsored by a student organization, a class, an academic department or University Career Services.

Before inviting the speaker(s), plan the purpose, format, length, location, date and time of your program.

Purpose of the Program

Most career programs focus on career and job hunting information related to specific fields or majors. Speakers often address some of the following topics:

  • their own career paths and work settings;
  • typical work activities and the skills, personality traits and interests needed to succeed in this field;
  • what people enjoy most about this job/field; Why?
  • aspects of the job/field they like least; Why?
  • how students should best prepare for entry into the field;
  • salary range for entry-level hires; mid-level; senior level;
  • employment outlook and trends;
  • entry-level and mid-level career opportunities in the field;
  • practical information/tips, resources, and associations that can assist students in decision making, job hunting, and career/life planning.

Program Format

Evaluations from seminars sponsored by University Career Services indicate that panel presentations are usually more effective than a single speaker on one topic.

Often three or four speakers are invited, with each presenting information for 10 minutes before the moderator opens for questions from the audience. Seminars should include about one half hour for questions and answers.

Inviting the Speakers and Coordinating the Program

  • Be sensitive to the Career Network members' work schedules when you ask if they can participate in your program. Call at least two weeks and preferably three or more before your program is scheduled.
  • Be clear about the subject about which you are asking the Career Network members to speak; date and time; location; format of program.
  • Word process and send (fax, email, or U.S. mail) a confirmation letter that reiterates the above information. Include information on directions and parking and be sure that the speakers can contact you with questions or concerns.
  • Call the speakers two to three days before the program to reconfirm and answer any last minute questions.
  • Be sure to make appropriate arrangements for a room and equipment. If you wish to provide refreshments, make arrangements with Food Services (703-993-3302) at least a week in advance.
  • Publicity: Attendance at your program will depend significantly on your ability to publicize. Possible avenues include class announcements by students and faculty; email; newsletters; fliers.
  • Program Moderating: Arrange for a moderator to introduce your program and speakers. Ensure adequate opportunity for all speakers to present and time for questions and answers.
  • Consider videotaping your program and donating a copy to University Career Services. STAR Services at 703-993-1107, will tape your program for a fee.
  • After the program, send a thank you letter to your speakers.
